Refund and cancellation
Rules for training seats booked with Filehavenbase after offline confirmation. This site does not take payment itself.
Scope
These rules apply to paid seats in clinics, labs, workshops, and private case reviews described on this website. They do not cover products, physical goods shipping, or software subscriptions—we do not offer those.
Eligibility
Refunds apply only to fees already paid to Filehavenbase for a confirmed seat. Inquiries submitted through the website create no charge and need no refund.
Timeframe
Cancel or reschedule in writing (email to studio@filehavenbase.click or message confirmed by us) at least 7 full days before the session start for a full refund of the seat fee. Notices inside 7 days are handled under partial refund and rescheduling rules below.
Full refund
You receive a full refund if we cancel a session, if we move the date and you cannot attend the new slot, or if you cancel with at least 7 days’ notice and no materials unique to your seat were purchased yet.
Partial refund
Cancellations between 3 and 6 days before start may receive up to 50% of the seat fee when we can reassign the seat. Inside 72 hours, seat fees are generally non-refundable unless we fill your place and agree otherwise in writing.
Non-refundable items
Custom printed workbooks ordered for a private cohort, venue deposits already paid on your behalf with your approval, and completed private case-review hours are non-refundable once delivered or irrevocably ordered.
Work already started
If a private review has begun—materials reviewed or session time underway—fees for completed portions stay due. Unused future hours may be refunded or credited as agreed in writing.
Deposits
When a deposit holds a cohort date, it is applied to the seat fee. Deposits become non-refundable within 7 days of the session unless we cancel.
No-shows
Missing a session without prior notice forfeits the seat fee. We may offer a single makeup seat at our discretion if space exists in a later cohort.
Rescheduling
One free reschedule is allowed if requested at least 5 days ahead and a later cohort has open seats. Further moves may incur an administrative fee disclosed before you confirm.
Refund process and timing
Email studio@filehavenbase.click or call 210-3829379 with your booking reference and reason. Approved refunds are processed within 10 business days to the original payment method when possible, or by bank transfer in Vietnam if the original method cannot be reused.
Exceptions
Serious illness or force majeure documented reasonably may allow a credit toward a later session even inside the standard windows. Credits expire after 12 months.
